A semester marksheet records your performance in a particular examination period. A consolidated marksheet brings results from multiple semesters or years into one acarepared or authenticated by the institution for academic or credential-verification purposes. A provisional degree certifies completion before, or in place of, the final degree during the intervening period. The degree certificate is the formal academic award.
These documents can contain overlapping information, which is why they are so often confused. They are nevertheless not automatically interchangeable. Anna University's current Controller of Examinations portal, for example, lists Gradesheet/Marksheet, Consolidated Statement of Marks/Grades, Transcripts, Provisional Certificate and Degree Certificate as separate academic services. Jawaharlal Nehru University's certificate application likewise separately identifies transcript, degree and provisional degree, while its academic rules separately identify consolidated marksheets and semester grade reports.
The five documents in one view
Document | Main purpose | Typical academic detail | Normally shows course-wise marks or grades? | Normally proves final degree award? | Common use |
|---|---|---|---|---|---|
Semester or annual marksheet | Records results for one semester, year or examination period | Subjects, marks or grades, credits where applicable, SGPA or result status | Yes | No, not by itself | Semester results, admissions, academic verification |
Consolidated marksheet | Combines academic results from several semesters or years | Usually subjects and marks or grades across the programme, sometimes total, percentage, CGPA or classification | Usually | It can demonstrate programme results, but it is not automatically the degree certificate | Admissions, employment, document verification, applications requiring complete marks |
Official transcript | Provides an institution-authenticated academic record for external use | Courses, grades or marks, credits where applicable, cumulative performance and sometimes grading information | Yes, in most academic transcript formats | May record degree information, but the receiving organisation can still require the degree certificate separately | Foreign university admissions, credential evaluation, transfer, academic verification |
Provisional degree | Certifies that the qualification has been successfully completed while the final degree is not yet available | Student identity, programme, successful completion or eligibility for degree, passing year | Usually no detailed course record | Temporarily serves as evidence of completion, subject to the recipient's rules | Admission, employment or verification before final degree is available |
Degree certificate | Formally records the award of the degree | Student name, qualification, institution, award or passing information and official authentication | Usually not a semester-by-semester academic record | Yes | Employment, higher education, immigration, licensing and credential verification |
The words normally and usually matter in this comparison. Indian universities do not all use identical document designs. A transcript from one institution may contain information that another institution places on its consolidated statement. Some universities use grades, some marks, and some include both. The issuing university's terminology should therefore take precedence over a generic definition.
Follow one student from Semester I to graduation
The relationship between these documents becomes much easier to understand when they are placed in chronological order.
Stage | What the student may receive or obtain | What the document establishes |
|---|---|---|
Semester I completed | Semester I marksheet or grade sheet | Performance in Semester I |
Semester II completed | Semester II marksheet or grade sheet | Performance in Semester II |
Remaining semesters completed | Additional semester or annual marksheets | Academic results for each examination period |
Entire programme completed | Consolidated marksheet or final consolidated statement, where issued | Programme-wide result in one academic statement |
Final result declared but final degree unavailable | Provisional degree or provisional certificate, where issued | Successful completion or eligibility for the degree before final certificate is available |
Degree formally issued | Degree certificate | Formal award of the qualification |
Student applies to another university or credential evaluator | Official transcript, often plus degree or provisional degree | Authenticated academic history plus evidence of the qualification |
IIT Bombay's current JAM 2026 document instructions show this distinction in practice. Applicants can submit semester-wise or year-wise marksheets, or a consolidated marksheet where available, while the degree or provisional certificate is listed separately.
1. Semester marksheet or grade sheet: one piece of the academic record
A marksheet is the examination-result document most students encounter first. Depending on the university, it may be called a marksheet, statement of marks, statement of marks and grades, grade sheet, semester grade report or marks card.
Its defining feature is generally its scope. A semester marksheet normally relates to one semester, while an annual-system marksheet relates to one academic year or examination.
University systems themselves distinguish these records from other documents. The University of Delhi lists both marksheet services and transcript services separately, while JNU's academic rules identify a "Semester grade report" separately from its consolidated marksheet.

A real grade sheet may instead show raw marks, internal and external marks, grade points, credit points, pass/fail codes, practical marks or a cumulative CGPA. These are university-specific design choices.
The important point is that this fictional Semester IV document does not show the student's complete B. Sc. record. If a foreign university asks for all semesters, uploading only Semester IV would normally be incomplete.
2. Consolidated marksheet: several semesters brought together
A consolidated marksheet is designed to remove the need to read a student's academic performance from several separate result sheets. It combines the applicable programme results into one document.
Anna University's Controller of Examinations currently treats the Consolidated Statement of Marks/Grades as its own document category, separately from an individual gradesheet or marksheet and separately from a transcript.
A historical Anna University consolidated statement reproduced in World Education Services' India document material shows the form this can take. The statement contains semester numbers, subject codes, subject titles, marks secured and month and year of passing, together with classification, total marks and percentage.

A real consolidated marksheet may be far more detailed than this example. It may list every paper from every semester instead of giving semester summaries.
Does a consolidated marksheet replace all semester marksheets?
Sometimes the receiving organisation allows it, but not automatically.
IIT Bombay's JAM 2026 instructions state that applicants may upload a consolidated marksheet of all years or semesters if it is available. Otherwise, semester or year marksheets are uploaded separately.
That is a rule for that application process. Another university can explicitly request individual semester marksheets even when the student possesses a consolidated statement.
3. Official transcript: the academic record prepared for external use
The transcript is the document students most frequently encounter when applying abroad.
IIT Roorkee has used the title "Official Transcript, Statement of Earned Credits & Grades". Its transcript format contains semester-wise subject codes, subject titles, grades and credits.
IIT Kanpur describes its transcript in a particularly practical way. For the alumni procedure covered by its published instructions, a transcript is a verified copy of the permanent grade sheet packed and sealed in an envelope.
This highlights an important feature of an official transcript: authenticity and transmission matter in addition to the information printed on it.

A transcript can therefore contain information that resembles both a semester marksheet and a consolidated marksheet, but the documents should not be treated as synonyms without checking the university's system.
Transcript and consolidated marksheet are especially easy to confuse
Three facts explain the confusion:
Both can contain results covering the complete programme.
Both can contain subject-level marks or grades.
Some receiving organisations accept either one if it satisfies their academic-record requirements.
But universities can still issue them as separate products. Anna University's current portal provides separate services for Consolidated Statement of Marks/Grades and Transcripts.
World Education Services also uses flexible language for Indian credentials. Its May 2026 guidance states that WES accepts consolidated transcripts and yearly mark sheets, subject to its requirements concerning the issuing degree-granting institution and document transmission.
The practical rule is simple: if an overseas university asks specifically for an official transcript, do not assume that your personal scan of a consolidated marksheet satisfies the requirement. Check how that institution defines "official."
4. Provisional degree: proof of completion before the final degree is available
A provisional degree or provisional certificate belongs to a different category from marksheets and transcripts. Its main purpose is not to provide a detailed academic record. It establishes that the student has successfully completed the applicable qualification or is eligible for the award, subject to the university's issuing rules.
The University of Delhi operates a separate online provisional certificate service. Its procedure requires supporting material such as the student's marksheet or result and issues the provisional certificate after verification.
JNU likewise identifies a Provisional Degree separately from its degree and transcript in its current certificate application.

Notice what is missing from this fictional certificate: six semesters of subjects, credit values and grades. Those belong to the student's academic record, not necessarily to the provisional degree itself.
Does a provisional degree become invalid as soon as the final degree is issued?
There is no safe all-India validity period to quote. University procedures and the requirements of the organisation receiving the document can differ.
The better distinction is functional. The provisional certificate provides evidence during the period in which the final degree is unavailable. Once the final degree exists, an organisation can reasonably require the final certificate instead.
This is also why application instructions sometimes explicitly say degree or provisional certificate. IIT Bombay's JAM documentation uses that formulation, and an IIT Madras international opportunity published for 2026 required a degree certificate, original or provisional, alongside official transcripts.
5. Degree certificate: the formal academic award
The final degree certificate has a much narrower academic purpose than a transcript but a stronger credential purpose. It records the award of the qualification itself.
University of Delhi's current Digital Degree system states that a degree is issued only when the student has successfully completed the academic programme and is eligible for the award. DU also explains that its digital degree is normally issued after the relevant annual convocation, although its separate "degree in advance" procedure exists for specified circumstances.

The degree certificate does not need to duplicate every semester result to perform its primary function. The transcript or marksheets explain how the student performed. The degree certificate establishes what qualification was awarded.
Three pairs of documents that are not interchangeable
Marksheet vs degree certificate
A final-semester marksheet can show that a student passed the last semester, but it is not automatically the formal degree award.
University processes themselves reflect this distinction. DU's printed-degree request form asks the applicant to provide a copy of the final-year marksheet when requesting the degree. The marksheet is therefore supporting evidence for the degree process, not the same document as the degree itself.
Consolidated marksheet vs transcript
Both can present the complete academic history. The transcript, however, may carry a particular institutional authentication or transmission procedure because it is designed for formal external academic use.
IIT Kanpur's transcript instructions, for example, describe institution verification and sealed-envelope delivery.
Provisional degree vs final degree
Both can demonstrate that the programme has been completed, but they are not the same stage of the credential. A provisional certificate is issued through a provisional-certificate process. The final degree is the formal degree award.
DU maintains separate systems for provisional certificates and degrees, while JNU's current application form separately lists provisional degree and degree among the certificates that can be requested.
What usually contains credits, SGPA and CGPA?
Information | Semester Marksheet | Consolidated Marksheet | Transcript | Provisional Degree | Degree Certificate |
|---|---|---|---|---|---|
Individual courses | Usually yes | Usually yes | Usually yes | Usually no | Usually no |
Marks | Common in marks-based systems | Common | May show marks or grades according to institution | Usually no | Usually no |
Letter grades | Common in grade-based systems | Common in grade-based systems | Common | Usually no | Usually no |
Course credits | Common under credit systems | May be included | Common in credit-based transcript formats | Usually no | Usually no |
SGPA | Common under semester grading systems | May show semester-wise SGPAs | May be included | Usually no | Usually no |
Final CGPA | May appear on final semester document | Common where CGPA system applies | Common where CGPA system applies | May or may not appear | May or may not appear |
Official degree award | No | Not its primary purpose | May record degree status | Provisional evidence | Yes |
An IIT Roorkee transcript format provides a concrete example of course credits appearing on an official transcript: it is expressly titled a statement of earned credits and grades and lists each subject with its grade and credit value.
That does not mean every Indian transcript must have exactly those columns. The student's own university format remains controlling.
If you already have every marksheet, why would you need a transcript?
Because a receiving organisation may want more than scans supplied by the student.
An official transcript can provide:
a complete institutional academic record in a standard format;
official authentication by the issuing institution;
course and grade information across the programme;
credits and cumulative performance where the institution uses them;
institution-controlled transmission to the recipient;
a sealed or securely transmitted record for credential verification.
For example, IIT Madras currently allows alumni and students to request official transcripts through its Student/Staff Services Portal and provides a separate service for sending an electronic copy to universities. It also offers transcript transmission to the WES portal.
This is why "I already have PDFs of all my semester results" does not necessarily answer an overseas university's request for an official transcript sent by your institution.
What foreign universities commonly ask Indian applicants to submit
There is no single worldwide admissions document rule. The destination university's checklist always controls. However, a common combination is:
Academic transcript or complete marksheets + degree certificate or provisional degree
An IIT Madras international programme opportunity for October 2026, for example, required official sealed academic transcripts for all semesters and a degree certificate, either original or provisional.
IIT Bombay's own postgraduate admissions guidance similarly distinguishes qualifying degree or provisional degree documentation from final transcripts or marksheets.
If an application says "Academic Transcript"
Use the official transcript issued or authenticated by your institution where possible. Check whether it must be uploaded by you, sent directly by the university, transmitted electronically or enclosed in an institution-sealed envelope.
If it says "All semester marksheets"
Submit the required individual semester records. Do not replace them with a final-semester marksheet.
If it says "Consolidated marksheet or transcript"
Either may be acceptable if the receiving institution expressly says so. Follow its wording rather than deciding that the two terms always mean the same document.
If it says "Degree certificate"
A transcript alone may not satisfy the request. The transcript proves the academic record, while the degree certificate proves the formal award.
If your final degree has not arrived
Check whether the institution accepts a provisional degree. Many academic processes explicitly provide for a degree or provisional certificate, but that should not be assumed where the recipient specifically demands the final degree.
What credential evaluators such as WES may require
Credential evaluation creates another layer of confusion because the evaluator can specify both which document it wants and who must send it.
World Education Services' May 2026 guidance for Indian credentials states that WES accepts consolidated transcripts and yearly mark sheets provided they are issued by degree-granting institutions and supplied according to its required process. Institutions may also transmit records electronically through approved arrangements.
WES's general document guidance states that official academic documents need to come from the issuing academic institution, while degree certificates can be uploaded by applicants where they appear in the applicant's required-document list.
Its Academic Records Request Form further states that transcripts should show the subjects taken and grades received across the programme and describes institution-sealed transmission for records submitted by post.
Therefore, an applicant should not assume:
that uploading a personal scan is equivalent to institution-sent academic records;
that only the final semester marksheet is required;
that the degree certificate replaces academic records;
that WES requirements are identical for every university, credential or evaluation type.
WES itself directs applicants to its institution-specific Required Documents system because requirements depend on the credential being evaluated.
For employment, the degree certificate often answers a different question
An employer usually wants to establish that the qualification stated by the applicant was actually awarded. That makes the degree certificate particularly important for employment verification, although an employer can also ask for marksheets or transcripts when academic performance is relevant.
The University of Delhi's current verification procedure specifically permits verification requests from an employer, head of an institution, embassy or high commission, and recognised Indian or foreign credential-verification agencies. The request includes a copy of the degree to be verified.
IIT Madras likewise lists the degree certificate as the mandatory document for education-verification requests involving passed-out B. Tech., MBA, M. Sc., EMBA, M. Tech., M.A., research and Ph.D. students covered by its current procedure.
This illustrates the functional difference:
Transcript: What did this person study and how did they perform?
Degree certificate: Was this qualification actually awarded?
Do affiliated-college documents count as university documents?
This requires particular care in India because a student may study at one college while the degree is awarded by an affiliating university.
A college may issue internal records or other certificates, while the marksheet, transcript or degree relevant to external verification may need to come from the university or another authorized awarding body.
For WES evaluations of Indian higher education, current guidance says the academic records must be issued by the degree-granting institution. WES accepts records from autonomous colleges where applicable, but documentation from an ordinary affiliated college is not automatically sufficient in place of university-issued academic records.
That is why the logo at the top of a document is not a trivial detail when preparing an overseas application.
A digital marksheet is still a marksheet, not a transcript
Digitisation introduces another naming problem.
If a university makes a degree certificate or marksheet available digitally, the method of delivery has changed, not necessarily the category of document.
IIT Bombay, for example, provides instructions for retrieving Degree Certificate/Marksheet documents through DigiLocker.
A digitally issued degree is therefore still a degree certificate. A digitally issued semester result is still a marksheet or grade sheet. Neither becomes an "official transcript" simply because it is available as a verified PDF.
When the recipient asks for institution-to-institution transmission, a secure digital document in your own account may also be treated differently from a transcript sent directly by the issuing institution.
What to submit in common situations
Situation | Documents commonly relevant | Important limitation |
|---|---|---|
Checking your latest university result | Semester marksheet or grade sheet | Does not represent your complete programme |
Need all results in one document | Consolidated marksheet, if your university issues one | Do not automatically call it a transcript |
Master's application abroad | Official transcript plus degree or provisional degree, according to the university's instructions | Recipient may require direct institutional transmission |
WES or another credential evaluation | Academic records and degree documentation specified in the evaluator's personal document checklist | Issuing and transmission requirements are as important as the document name |
Applying immediately after final results | Final academic record plus provisional degree where accepted | Replace or supplement it with final degree if the recipient later requires one |
Employment verification | Degree certificate, often with marksheets or transcript if requested | The employer may seek verification directly from the university |
Need course-by-course grades and credits | Transcript or complete grade records | Degree certificate usually does not provide this level of detail |
Need proof that the qualification was formally awarded | Degree certificate | A marksheet alone is not the same evidence |
One application folder, five different functions
Consider the complete academic folder of our fictional student Aarav:
Document in folder | What another institution can learn from it |
|---|---|
Semester I to VI grade sheets | Exact semester-level results and any individual semester status |
Consolidated statement | Programme results gathered into one academic document |
Official transcript | Institution-authenticated academic history prepared for external use |
Provisional degree | Evidence of successful completion while final degree was unavailable |
Final degree certificate | Formal evidence that the Bachelor of Science degree was awarded |
None of those documents becomes unnecessary merely because another document contains some of the same information. A transcript and consolidated marksheet can both list courses. A provisional certificate and final degree can both establish completion. The difference is the purpose, issuing process, level of academic detail and evidentiary role of each document.
Before uploading documents, read the request literally
If an application says "official transcript", obtain the transcript rather than automatically uploading a consolidated marksheet. If it asks for "semester-wise marksheets", provide the semester records. If it asks for a "degree certificate or provisional degree", that request concerns proof of qualification, not merely grades.
The distinction becomes especially important for students converting CGPA or percentage for an application. Your calculation may come from the CGPA printed on a marksheet or consolidated statement, but the receiving institution can still require an official transcript to verify the academic record and a degree certificate to verify that the programme was completed.
Reading the document title first, then checking who issued it, which academic period it covers, whether it contains course-level results, and what the receiving organisation actually requested is more reliable than treating every university PDF as a "marksheet" or every complete result statement as a "transcript."
